Information we collect
We collect account information (email), call metadata, voicemail recordings, transcripts, and extracted caller details. We use Supabase for authentication and data storage, Telnyx for telephony and SMS, and OpenAI for transcription and extraction.
Information we collect from callers
When a caller leaves a voicemail for a professional using CallSnap, we collect call metadata, voicemail recordings, and transcripts. Before the caller leaves a message, the voicemail greeting discloses that the call may be recorded, asks for their name, phone number, and issue description, and states that leaving a message consents to a one-time text confirming receipt. We may then send that one-time SMS confirmation to the caller on behalf of the professional.
How we use information
Data is used to provide the CallSnap service, improve accuracy during early access, and communicate with you about your account.
Analytics and cookies
We use PostHog to measure anonymous page views and product interactions so we can improve CallSnap. Before you accept cookies, measurement is cookieless (no persistent identifier stored in your browser). After you accept, we may set analytics cookies and link events to your account when you are signed in. You can decline cookies via the banner. See our Data Retention Policy for more detail.
SMS communications
CallSnap may send transactional SMS messages, including: (1) account notifications and enrollment confirmations to professionals who opt in by saving their US mobile number in Dashboard → Settings → Business → Mobile number and agreeing to SMS alerts when a new voicemail arrives; and (2) a one-time SMS confirmation to callers after they leave a voicemail for a professional. Callers hear the consent disclosure in the greeting before they leave a message; leaving a voicemail is how they consent to that one-time confirmation text. Message frequency may vary. Message and data rates may apply. Recipients may reply STOP to opt out or HELP for help. Consent is not a condition of purchase. See our Terms of Service and SMS opt-in page for more details.
Your mobile information will not be sold or shared with third parties for promotional or marketing purposes. We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your personal data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including but not limited to platform providers, phone companies, and any other vendors who assist us in the delivery of text messages. Text messaging originator opt-in data and consent will not be shared with any third parties for promotional or marketing purposes.
Data retention
We retain voicemail data, recordings references, and account information while needed to provide the service—typically until you delete a voicemail or your account. See our Data Retention Policy for details on retention periods, backups, subprocessors, and your rights.
Your rights
You may delete individual voicemails or your entire account from the dashboard. Deletion removes associated data from our systems subject to backup retention periods.
