Data Retention Policy

How long CallSnap keeps data, how deletion works, and how to exercise your rights. This policy supplements our Privacy Policy.

Scope

This policy applies to CallSnap (“we,” “us”), including data about business users (professionals) and callers whose voicemails are processed on a professional's behalf. Retention periods below describe CallSnap's primary systems. Subprocessors may apply their own retention for data they process on our behalf.

We retain personal data only as long as needed to provide the service, comply with law, resolve disputes, or as otherwise described here—typically until you delete a voicemail or your account.

Voicemail recordings and transcripts

Transcripts, extracted caller details, and voicemail recordings are retained until you delete the voicemail or your account. CallSnap stores recording references (URL and SID) and transcripts in your account. Audio files are hosted by Telnyx. When you delete a voicemail or account, we remove the associated records from CallSnap. Recording media held by Telnyx remains subject to Telnyx's retention practices unless you or we request deletion through Telnyx support channels.

Call and voicemail metadata

Caller ID, timestamps, call-related identifiers, and AI-extracted fields (such as name, phone, issue, address, and urgency) are retained until you delete the voicemail or your account.

SMS

CallSnap may send transactional SMS (for example, voicemail alerts to professionals and one-time caller receipts). Professionals opt in via Settings → Business → Mobile number (see SMS opt-in). Callers consent via the voicemail greeting disclosure before they leave a message. Mobile information will not be sold or shared with third parties for promotional or marketing purposes. CallSnap does not store SMS message content or delivery logs in its application database. Telnyx may retain SMS delivery logs under Telnyx's policies. When a recipient replies STOP, we retain an opt-out record (phone number and timestamp) so we can honor the request and not send further texts to that number. Opt-out records are kept until the number replies START or we no longer need them to honor the opt-out.

User account and contacts

Email, phone settings, assigned CallSnap number metadata, subscription-related identifiers, and contacts are retained while your account is active. When you delete your account from the dashboard, we delete associated account, voicemail, and contact data from our primary systems.

Analytics

If product analytics (for example, PostHog) are enabled, we collect anonymous page views and interaction events to understand how CallSnap is used. Before you accept cookies, this measurement is cookieless (no persistent identifier). After you accept, we may use cookies and link events to your account when you are signed in. Analytics are not used as a store of voicemail content. You may decline cookies or request deletion of analytics-linked data by contacting support.

Backups

Infrastructure providers (such as Supabase and hosting) may retain encrypted backups for disaster recovery for up to approximately 30 days after deletion. Backups are securely stored and automatically purged on the provider's schedule. We do not use deleted data for product purposes after removal from primary systems.

Your rights and requests

You may delete individual voicemails from the dashboard, delete your entire account from Settings, or use our support form for access, correction, or deletion requests. We aim to remove data from primary systems promptly when you delete a voicemail or account, or when we fulfill a valid request. Residual copies in backups are typically purged within about 30 days.

Depending on where you live, you may have additional rights, including under United States law (such as CCPA/CPRA access and deletion), Canadian law (PIPEDA and, where applicable, Quebec Law 25), and GDPR-style rights where applicable (access, rectification, erasure, restriction, portability, and objection). We will not discriminate against you for exercising privacy rights. Some requests may require identity verification. We may decline or limit a request where permitted by law (for example, legal holds).

Legal requirements

We may retain certain data longer than described above if required by law, regulation, legal process, dispute resolution, fraud prevention, or security investigation.

Subprocessors

CallSnap uses service providers that process data to operate the product, including Supabase (authentication and database), Telnyx (phone numbers, voice recordings, and SMS), OpenAI (transcription and structured field extraction), and hosting / analytics providers such as Vercel and PostHog. Each provider may retain data according to its own policies for the duration needed to perform its services.
